How to Work with Japan 301

A flexible process for focused projects and ongoing support.

Every collaboration starts with a simple exchange. The process then adapts to your situation: a clearly defined one-off mission, a recurring communication need, or support whose exact format still needs to be clarified.

01 — First contact

Start with the contact form

The contact form is the starting point for any enquiry. Once we receive your message, our team will get back to you to answer a general question or, when your enquiry concerns a project, to arrange an initial discussion and better understand your needs.

02 — Understanding your project

Understand the project together

During an initial discussion, we work with you to understand the project context, the audiences involved, your priorities, any existing materials or actions, and any constraints that may need to be considered.

This conversation also helps clarify your expectations and identify the most important needs before defining the next steps.

03 — Scope & proposal

Defining the scope

Based on this discussion, we define the scope of the mission with you: the objectives, the actions or services to be carried out, each party’s responsibilities, the timeline, the working rhythm and the collaboration process.

The Service Catalogue can provide a useful reference point, while the support itself is adapted to the context and specific needs of each project.

Path A — One-off or fixed-scope

A defined mission

This path suits an audit, webpage, brochure, presentation, campaign, event, training session or another clearly framed action.

  1. 4Production or implementationThe agreed materials are created or the planned action is carried out.
  2. 5Review and adjustmentsFeedback, corrections and refinements are handled within the agreed scope.
  3. 6Completion of the missionThe mission concludes according to its agreed scope, for example after an action is completed, a project is implemented, an event takes place or an agreed review is carried out.

Path B — Ongoing or recurring

Support over time

This path suits social media management, scheduled publications, content maintenance, campaign follow-up, project coordination or monthly support.

  1. 4Setup and working routineThe pace, responsibilities, approvals, tools and communication channels are agreed.
  2. 5Recurring operationsCreation, scheduling, publishing, monitoring, coordination or maintenance continue according to the agreement.
  3. 6Regular reviewPriorities, needs and actions are reviewed and adjusted at suitable intervals.
  4. 7Continuation or end of supportSupport continues for the agreed period and ends when the recurring mission or contract is completed.

Communication & feedback

A direct and understandable working relationship

Useful checkpoints, validation responsibilities and feedback windows are agreed according to the mission. Exchanges remain clear and proportional to the project, whether the work lasts a few days or several months.

Completion or ongoing support

Each mission concludes according to its agreed scope

Depending on the type of support, a mission may end after the completion of an action, the implementation of a project, a period of management or follow-up, an event, or an agreed review.

When ongoing support is useful, the collaboration can continue on a recurring basis or evolve towards new activities.
